Creating E-Mail Signature Files Using Templates

Although this feature has been available for some time, there is an increasing need for it with the newer versions of Corporate Edition.  You all probably already know that you can create a .txt file with your contact information and by going to Edit | Preferences | E-Mail (or Internet) Tab, More Options| button, Retrieval Tab, and select the |Use signature file|, you can browse to the text file and have it appear at the bottom of every e-mail.

Did you also know you can use templates to not only change font settings, colors, backgrounds, even add logos and other images?  At 180° Solutions, we take it one step forward and teach our clients to create at least 2 signature files.  Here's how it's done:

        1.            Click on View | Document Management Center| (or use the Write button on your toolbar).

        2.            Right-click on the E-mail Templates folder and click on New|

        3.            In the Subject line enter in a description such as |John's New Message Sigfile|

        4.            In the body of the e-mail enter in the information you want in your sigfile. For Example:








John Doe


Sales Manager

John@180DegreeSolutions.com

        909-740-3886






        5.            When you're done, click the Save Template button.

        6.            If a message alert comes up click OK then Cancel to go back to the Document Management Center.

        7.            Right-click on your new E-mail Template and select Set as Default | New Message.

        8.            Now repeat steps 2 -7 but create a |John's Reply & Forward Sigfile|.

        9.            This signature file, not usually having the need to restate over and over again all your information i.e.,  logo, disclaimers, etc, can be much simpler.

GoldMine 7.5 Released

Although 180° Solutions is currently recommending most of our customers to wait a bit longer before upgrading to 7.5, with over 200 fixes and enhancements, the results so far are good and it appears to be a stable and excellent build.

GMCE 7.5 product improvements include:

Creating Activity Filters In History and Pending Tabs

Have you ever wanted to search for something such as an e-mail "you" received in a record with lots of activity by many different users?  Though Standard and Corporate Edition could do this as well, it was much more cumbersome to do and could even be incredibly slow in Standard Edition. Here's how Premium Edition let's you do it quick and easy:

        1.            Click on the History or Pending Tab.

        2.            Right-click anywhere within the tab and select Summary.  You should now see a total number of records at the bottom of the window.

        3.            In the Column Heading select the down arrow button next to User.  Notice that the list does not show ALL the GoldMine users but just the ones with activities in this window.

        4.            Select your name from the list.  Now your list of let's say 350 may be down to 125.

        5.            In the Column Heading select the down arrow button next to Activity and choose E-mail In.  Now your list may be down to 33.

A lot fewer records to search through huh?

Now if you change records, the Activity Filter is still on and follows you to other records in your database if you want.  When you're all done all you have to do is hit the X below the Activity count and you can now look at all the records again.
